3 Scope of work
3.1 Background
In 2024 EIT InnoEnergy carried out the 12th edition of The Business Booster (TBB), InnoEnergy's main
external event aiming at fostering the link between the industry, investors, start-ups and policy makers.
The event took place in Barcelona on October 16-17 with more than 1700 attendants from 52 different
countries. There were 150 start-ups exhibiting and pitching and more than 3,500 business meetings
organized through our B2B tool. The topic in 2022 was “Economic growth, geopolitical resilience, and
clean energy transition: Trilemma or opportunity?”.
The event consists in 3 main axes: a) Pitching sessions of the exhibitors supported by EIT InnoEnergy, b)
Exhibition space and networking sessions to facilitate the interaction and transactions among exhibitors
and potential customers/investors and c) conferences with notorious speakers about hot topics in the
sustainable energy business.
In 2024 EIT InnoEnergy booked 435 rooms within walking distance for Exhibitors (300 people) Staff
(100 people) and VIP/Speakers (35 people). And we had 700 delegates who were from 52 countries
who booked their own accommodation.
InnoEnergy (IE) is looking for a partnership with an agency to outsource the complete booking
accommodation arrangements during The Business Booster event. The event will take place at La
Defense Arena, Paris on 7 - 8 October 2025. The aim is to collaborate with a trusted partner to
establish an efficient & user-friendly accommodation booking process. The contract period is for 12
months, with a possibility to extend for another 12 months in case of mutual satisfaction of services
and available budget and under the exact same conditions (work scope + price).
in 2025 EIT InnoEnergy wants to offer to the delegates a proper platform to book their own
accommodation with great user experience and saving time and money.

3.2 Services requested:
• Book 300 rooms for 150 exhibitors (2 representatives from each exhibitor) in 3–4-star category
and walking distance hotel (5-10min max)
• Book 100 rooms for EIT InnoEnergy staff in 3–4-star category and walking distance hotel (5-
10min max)
• Book 50 rooms for VIPS and speakers in 4–5-star category and walking distance hotel (5-10min
max)
• Block and resell 500 rooms for delegates, all the commissions generated by these bookings will
be secured to EIT InnoEnergy
• User friendly web-platform for rooming system
• User friendly web-platform for booking accommodation for delegates
• Project manager during the whole period of the project, English speaking is mandatory and
Spanish/French speaking is a nice to have. .
